Getting Started with Accessibility Resources Office (ARO)

Accessibility Resources Office (ARO) determines and approves all academic accommodations at UB. Participation in ARO is your choice. Students who do not use ARO will not receive accommodations in the Pharmacy Building - SPPS does not provide alternative testing rooms or proctoring outside of ARO. Accommodation information is confidential and shared only with individuals directly involved in implementing approved accommodations.

Step 1: Meet with the Office of Accessibility Resources (ARO).
Step 2: Obtain your Accommodation Memo (new memo required each semester).
Step 3: Submit your memo using the SPPS Accessibility Memo Submission Form.
Step 4: Schedule exams directly with ARO.
Step 5: Communicate with faculty/staff/preceptors.

If You Are New to Accommodations:

If this is your first time using accommodations at SPPS or your first time using accommodations for rotations, schedule a required meeting with Dr. Nicole Albanese (for PHM) or Dr. Youngjae You (for PHC) to ensure you understand testing logistics, scheduling requirements, and expectations. The appointment may be scheduled using Navigate.

Exam Accommodations Process

After meeting with ARO and submitting your accommodation memo, your next steps are to schedule any exams with ARO (if applicable) and communicate with the appropriate faculty, staff, or preceptors. Please remember that a new accommodation memo is required each semester, if applicable.

Student Responsibilities

  • Submit memo each semester
  • Schedule exams by deadline
  • Communicate with faculty

ExamSoft and Extended Time

  • Activation may take up to 48 hours.
  • You will receive confirmation from Jaime Maerten-Rivera.
  • If your exam is within 48 hours, wait for confirmation before downloading.
  • Extended time is applied universally in ExamSoft. It cannot be turned on/off per course.
  • If you take an exam in the classroom, the timer will display extended time BUT you may only use the standard class period. If you need extended time, you must schedule and take the exam at ARO.

Schedule Exams with ARO

All ARO testing appointments must be scheduled by the student.

Students are responsible for scheduling exams with ARO by the deadlines established by ARO. Students will receive instructions from ARO on how to schedule exams. 

For extended time or distraction-free exams, students must schedule with ARO.

You must:

  • Schedule your exam for the same time as the class exam.
  • If using extended time, you may begin earlier.
  • Remain at ARO until the class exam begins. Note: Sharing information before classmates start is an academic integrity violation.

Students email stu-exams@buffalo.edu as instructed by ARO. Information includes: course name, instructor name, exam date, time and length of exam.

ARO Testing Location

📍 1 Diefendorf Hall (7–10 minute walk from Pharmacy Building)
🕘 Monday–Friday, 8:30 a.m.–4:00 p.m.
⏰ Arrive 30 minutes before your exam
💻 Bring your laptop for ExamSoft

Exam Information

PHC and PHM exams are compiled before the semester begins and added to the Student Outlook Calendars. See Computing and IT Support for instructions for adding the calendars. Students should also review course syllabi and UBLearns regularly for any schedule updates or changes.

Exams are submitted to the ARO by staff or faculty at least 48 hours prior to the scheduled exam time (PHC: submitted by faculty; PHM: submitted by Jean or Kelly).

Communicate Promptly

Clear, timely communication is essential. Students must notify SPPS as early as possible if accommodations impact classes or rotations.

Before your first exam or rotation or if a concern arises, be sure to communicate directly with each faculty member, preceptor, and relevant staff as necessary. 

If concerns arise:

  • PHM courses → Contact Jean Costanzo or Kelly Sustakoski
  • PHC courses → Contact course faculty
  • IPPEs/APPEs → Contact Dr. Richard O'Brocta
  • Or contact ARO immediately

Unexcused Absences

Students are responsible for reviewing the attendance policy in each course syllabus. If absence or delay is due to an accommodation‑related reason, communicate promptly with faculty, staff, and/or preceptors once symptoms subside.

Future Accommodations

  • A new memo is required each semester.
  • For NAPLEX accommodations, review ADA Request Form. Approval is valid for one year from the date of NABP’s notification.
